Who handles your information

Finlay Facilities Services is responsible for the personal information you send us when making an enquiry. Our address is Ballymount Cross Business Park, Ballymount, Dublin, D24 E5NH. For privacy questions or requests, email [email protected] or call 086 381 8241.

What we use and why

We use your name, email address, phone number if supplied, property location and the details of your request to respond, discuss your requirements, prepare a quote and follow up about that enquiry. Please provide only information relevant to the work and avoid sending sensitive personal information or access codes.

For a service or quote request, our lawful basis is taking steps at your request before entering into a contract, or performing a contract if work is agreed. For general correspondence, our lawful basis is our legitimate interest in answering questions and managing business communications. Where we must retain records to meet a legal obligation, that obligation is the lawful basis.

Providing your contact information is your choice, but we need a working contact method to reply. The form asks for a name and email address; a phone number and property location are optional. We do not use enquiry details for unrelated marketing or sell them. We do not use your information for profiling or automated decisions with legal or similarly significant effects. Automated spam checks may reject messages suspected of abuse; if you cannot submit the form, please email or phone us.

We process technical information to deliver the website, prevent spam and protect our enquiry channels. Our lawful basis is our legitimate interest in running a reliable, secure website and protecting the business and its visitors from abuse.

Email and service providers

Cloudflare hosts this website and processes technical information, such as IP addresses and request details, to deliver and protect it. Cloudflare uses a global network, so this processing can involve countries outside the European Economic Area. Its data-processing terms describe the safeguards for international transfers, including Standard Contractual Clauses where applicable. See also Cloudflare’s privacy information. You can contact Finlay to ask for information about the relevant safeguards.

Our enquiry form uses Web3Forms to receive your submission, check for spam and send a notification to Finlay’s email inbox. Web3Forms is configured to delete its stored copies of new submissions after 30 days. Copies delivered to our Microsoft 365 mailbox are handled under the retention criteria below. Its infrastructure and spam-protection providers process submission and technical information to provide this service. Web3Forms operates from India and uses international infrastructure, with contractual safeguards described in its privacy policy and linked data-processing agreement. Contact Finlay if you need information about the retention setting or want to make a privacy request.

Enquiry correspondence is handled through [email protected] using Microsoft 365. Relevant Finlay staff use the information to deal with your request. Microsoft processes email data to provide the service. We may also disclose information where required by law or where necessary to establish, exercise or defend a legal claim.

Microsoft uses global cloud infrastructure, and some processing can involve countries outside the European Economic Area. Microsoft’s business data-protection arrangements describe the safeguards for these transfers, including contractual safeguards where applicable. See Microsoft’s data-protection information. You can contact us to ask about the arrangements relevant to your enquiry.

How long we keep enquiries

We keep enquiry information for the time reasonably needed to answer your request and complete related follow-up. The period depends on whether discussions are ongoing, whether a quote or service is agreed, and whether a complaint or legal issue needs to be resolved. Once enquiry information is no longer needed for those purposes, we delete it.

If work is agreed, relevant correspondence may become part of the customer record and be retained for the service, applicable record-keeping obligations and the establishment, exercise or defence of legal claims. This does not mean every enquiry is kept indefinitely.

Your choices and rights

You can ask to access or correct your information. Depending on the circumstances, you can also request deletion, restriction or portability, and object to processing based on legitimate interests. Contact [email protected] to make a request. Some records may need to be retained where the law permits or requires it.

You can complain to Ireland’s Data Protection Commission.

Cookies and external links

We do not add visitor analytics, advertising cookies, embedded maps or externally hosted fonts. Cloudflare may use strictly necessary security cookies when protecting the website from abuse. The enquiry form uses a hidden bot-trap field and Web3Forms spam checks; no CAPTCHA widget is currently loaded. Links to Google Maps, your email application and other websites open services with their own privacy arrangements. If tracking or other data-handling services are introduced, the notice and any required choices will be updated to reflect them.
